TERMS  OF  MEMBERSHIP

Everything you need to know about being Asperlutely Autsome

Congratulations on wanting to be a part of our community! 

Registering with Asperlutely Autsome Inc. means you will be added to our email list to be kept informed of our upcoming events, and will receive our newsletters as well as other assorted communication about what we are up to.

You only need to fill in your family’s online registration once, when this is done you are eligible to participate in our events and programmes as well as able to access tickets to events from other community organisations such as Kidsflix, Ladies of Variety, and a number of others throughout the year.

We do ask that you fill in as much information as you can.  The more you tell us, the more we can cater to your family at our events and retreats. You can update your profile online at any time. Of course, all information remains confidential and we adhere strictly to our privacy policy and government privacy requirements.

Please do let us know about ALL your children –whether they are diagnosed or not - our organisation aims to support the whole family and most events organised by us cater to all members of the family wherever possible.  It truly helps us plan for everyone if we understand who is coming including the names and ages of all children attending.

We ask for relevant information about the members of your family. So why do we want to know this we hear you ask?

It is our responsibility to keep our extended ASD families as safe as we possibly can. For example, we may need to get in touch with your contact(s) should emergency medical assistance be required.  The more information we have, the better able we are to help them care for your family member.

Knowing allergies allows us to stay on top of foods offered, and ingredients used in our sensory play activities and likes and dislikes again help us to better understand and connect with your family.

Yes parents too, you are all equally important in our eyes!! No cheating those birth dates either - they are important. Add as much or as little information as you like, but the more information we have, the better we can cater to your family’s needs at our events.

All families wishing to attend Asperlutely Autsome Inc. events are required to complete this online form. Failure to do so will mean that your family is not able to be covered by our insurance and you will not be able to attend any Asperlutely Autsome events Inc. events.

ALL INFORMATION IS KEPT STRICTLY CONFIDENTIAL

Please note it is up to you if you wish to include Autism/Aspergers or other disability/diagnoses when telling us about your family -, but it is a tremendous help in allowing us to cater to each family member more individually where possible.

Photo and Digital Images

Whilst at Asperlutely Autsome events your family may be photographed or recorded having fun:

By checking “Yes” to the question in our application regarding Photo Permission, you are giving permission for any and all family members and guests of your knowledge to be photographed with other group participants. These photos may be used in Asperlutely Autsome publications  or digital media. Only first names of participants will ever be published. You understand any images/photographs taken are the property of Asperlutely Autsome.

By checking “No” we will do our utmost to ensure we uphold your privacy and that no images are shared or published.  We understand, due to sensitive circumstances, some children/families have very particular issues with sharing or publication of images. This may include, but not limited to, custody issues, foster care, protection issues. If any of these apply to you please give us the details (either by e-Mail or through the “general Comments” box in the online profile) to assist us with ensuring maximum privacy.

 All attendees at Asperlutely Autsome Events must agree that any photographs/digital images that they take of other families/children whilst oat the event must not be shared or published in any way without the express permission of the family concerned.

Themed Events

On occasion Asperlutely Autsome may host themed events, such as Christmas in July, Harmony Day, Halloween etc. We do not discriminate against, nor support any specific belief system but recognize not everyone may choose to be part of these.  If there are any specific religious or spiritual beliefs/holidays that you do not want your family to participate in, please make sure you let us know.

Event Safety

As a Parent/Carer you agree that you are wholly responsible for your child(ren)’s safety and wellbeing for the duration of retreats, events and social gatherings hosted by Asperlutely Autsome.  It is strongly discouraged to leave your child(ren) in the care of another family even for short periods of time, Asperlutely Autsome will take no responsibility for any incidence arising from such a situation.

Asperlutely Autsome/Autism SA event if the hosts deem my behaviour to be as such.

We remind families that intoxication around minors in these situations is deemed innapropriate and that you are responsible for your behaviour and actions surrounding sensible alcohol consumption. Asperlutely Autsome Inc will not take any responsibility for any incidence arising from such a situation.

Parents/carers agree to an ambulance being called; and agree to all costs incurred in the event of an emergency situation if they are unable to be contacted/located whilst attending any event run or supported by Asperlutely Autsome . This refers to child(ren), partner, self or guests attending under your knowledge for the duration of an event.

Privacy

By registering with Asperlutely Autsome, you consent to receive e-Mail and other communications from us regarding our events, programmes, activities etc.  You can of course unsubscribe at any time. 

Asperlutely Autsome collects and uses personal data to maintain contact with clients and suppliers in the course of carrying on its business. Asperlutely Autsome understands the importance of protecting the privacy of individuals and is committed to complying with the Privacy Act 1988 (as amended), and associated Australian Privacy Principles, to ensure the confidentiality of any personal information collected.

Note; Employment records are exempt from the Australian Privacy Principles where use directly relates to  the employment relationship. Information collected from unsuccessful applicants for employment must be destroyed.

Specifically:

Collection – personal information is collected to ensure appropriate contact with Asperlutely Autsome’ clients and suppliers in the course of business.

Use and disclosure – information will only be used in the course of carrying on Asperlutely Autsome’ business; no information will be disclosed to any third party without prior approval.

Data quality – as far as practical we will ensure any data collected will be accurate, complete and current.

Data security – we will protect data from misuse, loss or unauthorised use.

Openness – information collected pertaining to each client or supplier is available to that client or supplier to review.

Access and correction – we encourage personal information be regularly updated and collected data to be available to the individual concerned

Identifiers – no Commonwealth or State identifiers such as Tax File or Medicare numbers are collected or used.

Anonymity – it is impracticable for individuals to remain anonymous.

Transborder data flows – no information will be transferred overseas unless absolutely necessary in the course of carrying on Asperlutely Autsome business.

Sensitive information – sensitive personal information may be collected, such as allergies and medical issues. This is so that Asperlutely Autsome can safely carry out its business. Information collected pertaining to each client is available to that client or supplier to review. This information will not be passed onto any third party unless in the case of a medical emergency.

Compliance with the Australian Privacy Principles is supported through documented procedures, and assured through training of relevant staff and volunteers, as well as regular review of procedures.

Any person wishing to make a complaint regarding the privacy of information should contact Asperlutely Autsome via e-Mail or in writing.

The Asperlutely Autsome Board fully endorses this Privacy Policy and it is the responsibility of management and volunteers to ensure it is understood, implemented and maintained at all levels within Asperlutely Autsome.

This Privacy Policy applies equally to all Asperlutely Autsome operations.

Payment for Programmes, Events and Retreats/Camps

On every occasion where a fee is payable to Asperlutely Autsome for any activity, full payment is required at the time of completing a booking.

Any exception to this requirement must be agreed with our Financial Controller, and confirmed in writing, prior to the booking being made.

We will provide members with as much notice as possible prior to the release of an event for booking. 

Please note: Any money owed to Asperlutely Autsome which remains unpaid for a period of 14 days beyond the due date for payment will incur an additional administration charge of $20 per transaction.  If any money owed remains outstanding for more than 30 days form the due date, we will instigate debt collection proceedings and an additional administration charge of $50 will be levied.

Cancellation and Refund Policy

If you find it necessary to cancel all or part of a booking, please let us know via e-Mail or contact us as soon as possible.  In the event of a cancellation, the member’s account with Asperlutely Autsome will be credited with the amount paid for the cancelled participant(s).  Please note, we are unable to issue cash refunds, unless there are exceptional circumstances which have been agreed to by our Financial Controller prior to the cancellation.

Cancellations for camps and retreats may be only be made up to seven days before the start of the event.  For day events, we will usually accept cancellations up to 48 hours before the event starts.  These arrangements are subject to change which will be explained in the event's published details.

In the event of a late cancellation, members may themselves arrange to transfer tickets to another family who is currently registered with Asperlutely Autsome – this is subject to you informing us, and receiving our agreement to the transfer.
